This guide explains how to allow dogs from the waiting list into your event.
Step 1: Select Entries and Action
Choose entries: Select the checkbox next to each dog you want to allow into the event.
Choose action: Click the "Allow" button. You can choose multiple dogs and move forward with all selected entries.
Step 2: Payment Options
Choose how to charge: After clicking "Allow," select one of the following options:
Charge the entrant and allow them in now: This option attempts to charge the entrant immediately using their saved credit card (if available) or assumes they'll pay with a check later.
Ask the entrant to accept and pay by a deadline: This gives the entrant a specific timeframe to decide and pay for the entry.
Step 3: Confirm Allowances
Click "Okay" to finalize your selections.
Email Notifications: You will not receive an email notification when you allow a dog from the waiting list. A notification will appear on your screen instead.
To verify if an email was sent to someone, go to the "Report" section and click "Email Sending History."
Important Note: If you DO NOT want to allow people to bring a check to your event, choose "Ask the entrant to accept and pay by a deadline." This is currently the only way to enforce payment by credit card.
Understanding Allowance Options
You can allow the dog in right away or ask the entrant to accept and pay with a deadline.
1. Charge the entrant and allow them in now:
This option gives you two choices.
Two choices (Credit card or check):
If you DO NOT want to allow people to bring a check to your event, choose "Ask the entrant to accept and pay by a deadline." This is currently the only way to enforce payment by credit card.
1. Credit Card: The system will charge their credit card right away if one is saved, otherwise they will be required to bring a check to the event.
Saved credit card: If the entrant has a saved card and has authorized that it can be charged by administrators, PerfDog will charge the card automatically. They'll receive a confirmation email with entry details and the charged amount.
No saved card: If no card is saved, the dog(s) will be added to the event immediately and the entrant will receive a confirmation email stating they need to bring a check payable to your club. The email will include a link for optional credit card payment.
Tip: Follow up with individuals who have outstanding balancesby sending them a personalized email prompting them to pay online.
PerfDog will automatically send a reminder email to individuals with unpaid balances before the event starts. The email will include a link to pay by credit card.
Important note: The event administrator must agree to terms regarding these charges:
2. Check: Assume they'll pay with a check - they can switch to pay with a card instead
Confirmation email sent: This option informs the entrant via email that their dog has been added to the event.
Payment instructions:
The email instructs the entrant to bring a check payable to your club.
Optional credit card payment: Additionally, the email includes a link for the entrant to conveniently pay the balance using a credit card through PerfDog.
Important note: The event administrator must agree to terms regarding these charges:
2. Ask the entrant to accept and pay by a deadline:
Set a deadline: Choose how long the entrant has to accept and pay (minimum: 0 days, 1 hour).
Define non-response action: Decide what happens if the entrant doesn't respond by the deadline (both entrant and secretary will be notified regardless).
Options:
Keep the entry on the waiting list
Assume the entrant will agree to participate and pay
Automatically cancel the entry.
Please note: Acceptable payment options will vary depending on your chosen deadline and non-response actions.
After Confirmation and payment of waiting list entry:
Admins will not receive an email after allowing a dog from the waiting list. You'll simply see a notification on the screen. To check if an email was sent to someone, you can go to the "Report" section and click "Email Sending History."
Emails will be sent to all parties involved if an entrant approved and paid for their accepted waiting list entry.
Remember:
Carefully choose which entries to allow.
Understand the different payment options and their implications.
Set deadlines and define non-response actions clearly.
