Admins: learn how to best handle mailed or emailed entries and checks for your event

What to Do with Emailed or Mailed Entries:

  • Adding Participants: If you receive an entry form (by email or paper) for your event, you can add the participant and their dog directly into PerfDog. Go to your admin screen and navigate to Manage > Manage entries > Add.

What to Do with Mailed Checks:

Checks Payable to Your Club:

  • If you receive a check made out to your club with an entry form, you can record the payment while adding the entry in PerfDog. More information about accepting and recording checks is covered below.

Checks Payable to PerfDog:

  • We recommend options 1 or 2:

    1. Enter the participant in the event, choose "Will bring check," and ask them to pay online with a credit card using the link provided to them in email or Here are instructions you can give them to pay by credit card. Shred the check made out to PerfDog.

    2. Ask the participant to bring a check payable to your club to the event instead. Choose "Will bring check" as the payment method. Shred the check made out to PerfDog.

  • Option 3 (less preferred): Mail the check payable to PerfDog. However, be aware that checks received after your event closes will be shredded.


Adding Entries with Checks (on Behalf of Participants):

When adding entries, you'll see payment options. Choose "Credit card" if you have their card details, otherwise choose "Check."

Check Payment Options:

1. Check in hand:

This is for checks you have received, and that are payable to your club (e.g., someone found your event listing outside PerfDog and mailed you the entry).

  • Important notes:

    • The check amount is immediately deducted from your event's proceeds (not reversible). Deposit the check as soon as possible.

    • If the entry is canceled in PerfDog after depositing the check, PerfDog handles the refund (as the funds were already deducted from your proceeds). Your club should not provide an additional refund.

2. Will bring check

Choose this if you're willing to enter someone without receiving their payment upfront.

  • This could happen with emailed entries or entries received from Professional Handlers.

  • You'll be responsible for ensuring they bring a check to the event, payable to your club. If you don't want to agree, you can remove the entries and ask the entrant to enter online.

  • Key points:

    • You agree to cover any processing fees for cancellations or if they don't pay.

    • PerfDog deducts the check amount from your event proceeds when you confirm.

    • Confirmation emails give participants the option to pay online with a credit card. If they choose this option, and your club selected "Entrant pays" processing fees, your club won't be responsible for those fees in case of cancellations.

    • PerfDog sends reminder emails to participants with outstanding balances before the event.

    • You'll receive a courtesy email with a list of outstanding balances before the event.

    • You'll be notified if any participants on the list pay their balance.

  • Important! Changes after payment may require additional fees.

    • If you make changes to entries after participants have paid their balance, you may need to collect any additional fees that result from those changes.

    • To check for outstanding balances on the day of your event, visit the Quick entries view or the Financial report page in PerfDog.

3. Will mail check

Choose this if you don't have a check or don't want to collect it. The slots will be released back to the public and the dog will not be entered in your event. PerfDog will enter them only when we receive the mailed entry form and check.

  • Things to know:

    • You can download a pre-filled entry form and email it to the participant for them to mail to PerfDog (instructions included).

    • Any mailed entries and checks received by PerfDog after the closing date will be shredded.

    • Because this option is not an entry in the event, no one will receive emails related to this transaction.

    • If you have the entrant's credit card, you can choose Pay now with credit card instead

Additional Notes:

  • If you have the participant's credit card, you can choose "Pay now with credit card" instead.

  • This guide focuses on mailed entries. PerfDog online entries typically handle payments automatically.
