Understanding Your Event's Waiting List

The waiting list is a helpful tool for managing events that might fill up quickly, or before the official closing date and time.

How the Waiting List Works:

  • The waiting list automatically starts when one of your event's limits is reached (e.g., number of dogs, handlers, etc.). You can adjust these limits in the "Event Limits & Timing" section.

  • Find the waiting list by clicking the "Manage" button. If there are dogs on the waiting list, the "Manage waiting list" button will pulsate.

  • Click "Manage waiting list" to either allow dogs into your event or cancel their entries and remove them from the list.


Important Notes:

  • Administrator's Choice: The waiting list doesn't automatically fill open spots in your event. You have the flexibility to choose which dogs are allowed in.

  • Manual Action Required: Increasing your event limits after the waiting list has entries won't automatically allow them into the event. You need to manually let them in or give them a chance to accept and pay.

  • Fairness Policy: Once a dog enters the waiting list for a specific level, all subsequent entries for that level will also be added to the list. This ensures that the first entrant is not disadvantaged.

    • Please note: If an event offers a level each day, this policy applies only to the level on the day with the waiting list. If the level for a particular day is not full and has no dogs on the waiting list, it can still accept entries, even if another level has a waiting list. This can happen when the limits for the entire day/event have not yet been reached.

      • Example: If Saturday (consider both max time and max # entries) is not full and the Junior level for Saturday is not full, and there are no dogs on the waiting list for Junior on Saturday, then the Saturday Junior level can still accept entries, even if dogs are on the waiting list for Junior on Sunday.

  • To prevent dogs from entering any level after a waiting list has begun: Adjust your event limits by setting each day's (or event's) Max # entries to the day's current entry count. This will force all future entries to be placed on the waiting list. Please note that this change won’t impact your ability to accept dogs from the waiting list, as your allowance overrides these limits.

    • If you clear the waiting list and have enough openings to accommodate additional entries, remember to increase the limits to allow additional new entries.

  • Email Notifications: You will not receive an email notification when you allow a dog from the waiting list. A notification will appear on your screen instead.

  • To verify if an email was sent to someone, go to the "Report" section and click "Email Sending History."

  • You can easily see the number of dogs currently waiting in the Manage section:

  • Instructions on how to use the waiting list features are displayed at the top:

  • You can view any notes left by the entrant for specific dogs.

Viewing all the details:

This information can help you make decisions.

  • Click the plus (+) next to a waiting list entry to see:

    • Detailed information about the event including current number of entries

    • Handler info and whether they have other dogs either in the event or on the waiting list

    • Notes for the dog and whether they have other entries in the event

Remember:

  • Review waiting list entries carefully before allowing them into your event.

  • You have the control to decide who fills open spots.

  • The waiting list promotes fairness for all entrants.
