Cancelling Your Event on PerfDog

This guide walks you through cancelling your event on PerfDog and processing refunds to entrants.

Important: How you handle refunds depends on who pays the PerfDog processing fee (chosen during event setup):

If you chose:

  • Entrant Pays: Entrants will receive a refund for their entry fee minus the processing fee.

  • Club Pays: Your club will be responsible for all processing fees associated with refunded entries. Entrants will receive a full refund for their entry fee.

To request full refunds for remaining entries in an event originally set up as 'Entrant Pays,' please submit the Event Cancellation Form

Steps to Cancel Your Event:

  1. Complete the Cancellation Form: Fill out this form to formally notify PerfDog of your event cancellation. Event Cancellation Form

  2. Close Entries: Prevent further registrations by going to the "Manage" section of your event page in the admin area and clicking "Close Entries."

  3. Optional: Notify Entrants: Consider sending a bulk email using PerfDog's email feature to inform everyone about the cancellation. (Read how to Send emails to all entrants)

  4. Subsequent steps depend on your event refund preferences.

  • For events originally set up as 'Entrant Pays' but now requiring full refunds for remaining entries:

  • For events where the original refund option chosen during setup remains unchanged:

    • Cancel Your Entrant's Registrations

      1. Navigate to "Manage" -> "Manage Entries" -> "Cancel."

      2. Select all entries you want to cancel by checking the boxes next to each entrant.

      3. Click the "Cancel" button above or below the entry list.

      4. Verify the dog information on the next screen and click "Confirm Cancellation."

      5. If your event was already closed, ensure you check the "Allow Refund" boxes for each entrant before confirming cancellations.

Refunds and Club Balances:

  • PerfDog will automatically process refunds to entrants according to your chosen processing fee option (Entrant Pays or Club Pays).

  • If your club owes PerfDog for any PerfDog Processing Fees or Electronic Processing Fees, you'll receive an invoice and can pay it online through our secure payment processor.

  • If you initially chose Entrant Pays as your processing fee option but want to provide a full refund including PerfDog Processing Fees, we can do that for you on the administrative side. Just fill out our form.

Important Notes:

  • Until your club pays any outstanding processing fee invoices, entrants will only receive a partial refund (their paid amount minus the processing fee).

  • If your club cancels an event and the event's entries without notifying PerfDog, and entrants contact us about a refund of the PerfDog Processing Fee, we'll help by letting them know to reach out to your club directly to ask about recovering the processing fee.
