Instructions for Event Administrators

As an event administrator, you have the ability to cancel dog entries on behalf of participants. This guide explains how to cancel individual entries or entire sets of entries, and how to handle refunds.

Key Points:

  • Individual vs. All Entries:

    • Use the "+" icons to expand and select specific entries for a person or dog.

    • Pay close attention to the button text: it will clearly indicate whether you are canceling a single entry or all entries for a person or dog.

  • Refund Options:

    • Cancellations typically result in a site credit for the entrant.

    • You can choose to issue an immediate refund by checking the "Refund now" box during the cancellation process.

    • If "Refund now" is selected and the payment was made via credit card, the refund will be processed immediately, including any existing site credits.

    • Entrants can convert site credits to refunds at any time. Instructions are provided in their cancellation email.

Getting Started:

  1. Navigate to Entry Management:

    • From the "Manage" menu, select "Manage entries."

    • Then, choose "Cancel entries or extras."

  2. Overview:

    • You'll see a list of entrants and handlers.

    • The "+" icons allow you to expand and view detailed entry information.

Canceling Entries:

  • Canceling a Single Entry:

    1. Expand the entrant's information using the "+" icons until you reach the specific dog and entry you want to cancel.

    2. Select the checkbox next to the entry.

    3. Click the "Cancel entry..." button or the blue button indicating "Cancel 1 entry for 1 dog...".

  • Canceling All Entries for a Dog:

    1. Expand the entrant's information until you reach the dog.

    2. Click the "Cancel all of dog's entries..." button or the blue button indicating "Cancel [number] entries for 1 dog...".

  • Canceling All Entries for an Entrant/Handler:

    1. Select the checkbox next to the entrant/handler's name.

    2. Click the "Cancel all of person's items..." button or the blue button indicating "Cancel [number] entries for [number] dogs...".

Confirmation and Refunds:

  1. Confirmation Page:

    • Review the cancellation details to ensure they are correct.

    • The fee returned is the amount paid by the entrant, minus the PerfDog processing fee (unless your club absorbs these fees).

    • If the event close date has passed, the refund checkbox may be unchecked. It can be manually checked if needed.

  2. Refund Options:

    • "Refund now": Check this box to issue an immediate refund. All account credits will also be refunded.

    • Site Credit: If "Refund now" is not selected, the entrant will receive an account credit.

    • "Cannot refund now": This may appear if the entrant is paying by check or if your club is absorbing processing fees. The entrant will receive an account credit when your event is finalized.

  3. Finalize Cancellation:

    • Click "Confirm cancellation."

    • Both the secretary and entrant will receive a confirmation email.

Important Notes:

  • Always double-check the cancellation details before confirming.

  • Entrants can convert site credits to refunds at any time.

  • If your club is absorbing the processing fees, those fees will be deducted from the club's proceeds.

Refund now processes the refund and any account credits immediately. Leaving it unchecked gives the entrant an account credit and retains all other account credits the person may have.
