Cancel a dog's entries in my event

Instructions for Event Administrators

Overview

Entrants can cancel their dog's entries in an event but sometimes an administrator needs to cancel on behalf of someone. As an administrator, you can easily cancel individual entries or an entire set of entries.

ℹ️ Note: To cancel specific entries for a person or dog (instead of all of them), use the + to the left of the person or dog to expand and view/select specific entries.

ℹ️ Note: Pay attention to what the blue button next to the dog or person says. Does it mention canceling ALL of a person's or dog's entries? Or is it for a specific entry? Make sure it's what you intend to cancel.

All cancellations you complete for an entrant will become a site credit unless you choose the option to immediately refund the entrant by checking the Refund now box in the cancellation screen.

If you choose Refund now and they paid by credit card, their refund will be processed immediately. All existing website credits on their account will also be refunded. Make sure this is what the entrant wants, in case they would prefer to keep the credit to pay for future entries. They can convert their site credit to a refund at any time. Instructions to request a refund are included in their entry cancellation email.

Getting familiar with Cancel entries

From Manage, choose Manage entries.

Then choose Cancel entries or extras.

You'll see a list of your event's entrants and handlers and a brief set of instructions about how to cancel. The event shown below has 4 entrants. Note that any blue cancel button you click on this page will provide you with another screen before you complete the cancellation. The (...) indicates that there is another page to complete before finalizing.

To see more details, click the + next to a person to see Dogs. Then click the + next to Dogs to see the dogs that are entered with that person in the event.

Canceling one entry for a dog

To cancel a specific entry for a dog, click the + next to the owner/handler, then the + next to Dogs until you get to the dog you want to cancel. When you click the + next to the dog, you can view all of its entries. Next, select the box next to the level/stake that you want to cancel and make sure that you see a checkmark in the box.

In this example, we only want to cancel Bucky's Open Gun Dog entry. To do this, click the Cancel entry... button next to OGD or click the blue button below the entire box that says Cancel 1 entry for 1 dog...

Canceling all entries for a dog

To cancel a specific entry for a dog, click the + next to the owner/handler, then the + next to Dogs until you get to the dog you want to cancel. When you click the + next to the dog, you can view all of its entries. Next, select the box next to the level/stake that you want to cancel and make sure that you see a checkmark in the box.

In this example, we're canceling all of Bucky's entries. To do this, click the Cancel all of dog's entries... button to the right of Bucky, or click the blue button below the entire box that says Cancel 2 entries for 1 dog...

Canceling all entries for an entrant or handler

To cancel all entries for an entrant or handler, select the box next to the entrant/handler. You can click the + next to the entrant and his or her dogs if you want to view all of their entries.

In this example, we're canceling all of Candy's entries. To do this, click the Cancel all of person's items... button to the right of Candy, or click the blue button below the entire box that says Cancel 4 entries for 3 dogs...

Confirmation of cancellation of entries

Next, you'll see the confirmation page where you'll choose whether or not to refund the entry fee.

If it's after your event's close date and time, the box under "allow refund" will not be checked. However, you can check the box if you want to refund the entrant.

This screen is where you finalize the cancellation. The fee returned is always the amount the entrant paid, less the PerfDog processing fee, unless your club has opted to absorb the processing fees.

ℹ️ Note: Make certain the dog and the entry on this screen are the ones you want to cancel. All dogs and entries appearing on this screen will be canceled when you confirm the cancellation.

Refund now allows you to check a box to refund someone right away, otherwise the refund becomes a PerfDog site credit which entrants can use to pay for entries in their next event or turn into a refund at any time.

Cannot refund now will appear if the entrant is supposed to pay with a check at the event, as was approved by an event administrator. If your club is absorbing the processing fees in the event, the processing fee connected to the canceled entries will be deducted from the club's proceeds. To confirm cancellation of the dogs and levels/stakes they're currently entered in, click Confirm cancellation.

Both the secretary and entrant receive a cancellation email. If the entrant has received a site credit, the email they receive gives them instructions about how to turn the site credit into a refund.
